Privacy Policy

How we handle your information and keep things transparent

Last updated: October 17, 2025

A Straightforward Approach

Look, we get it - privacy policies are usually a slog to read through. We're architects, not lawyers, so we've tried to keep this as clear and honest as possible.

At Ulthor Aven Quinth Architects, we take your privacy seriously. Whether you're reaching out about a potential project, subscribing to our newsletter, or just browsing our portfolio, we want you to know exactly what info we collect and what we do with it. No surprises, no fine print nonsense.

This policy applies to our website and any interactions you have with our studio. We're based in Toronto, Ontario, and we comply with Canadian privacy laws including PIPEDA (Personal Information Protection and Electronic Documents Act).

What We Collect

We're pretty selective about what information we gather. Here's the breakdown:

Info You Give Us Directly
  • Name and contact details when you fill out our contact form
  • Project details and requirements you share with us
  • Email address if you sign up for updates
  • Any feedback or comments you send our way
  • Files or documents you upload through our portal
Stuff We Collect Automatically
  • IP address and general location data
  • Browser type and device info
  • Pages you visit and how long you hang around
  • Referring websites (where you came from)
  • Time and date of your visits

What We Do With Your Data

We're not in the business of selling data or spamming you with junk. Here's honestly what we use your information for:

Primary Uses
  • Getting Back to You: When you reach out about a project, we need your contact info to respond. Pretty straightforward.
  • Project Work: If we're working together, we'll use your details to manage the project, send updates, and keep things running smoothly.
  • Newsletter & Updates: If you've opted in, we'll occasionally share news about our latest projects or sustainability initiatives. You can bail on this anytime.
  • Website Improvements: Those analytics help us figure out what's working and what isn't on our site.
  • Legal Stuff: Sometimes we're required to keep records for contractual or legal reasons - especially on commercial projects.

We won't use your personal info for anything beyond what you'd reasonably expect from an architecture studio. No weird third-party marketing schemes or anything sketchy.

Who Sees Your Information

We keep your data pretty close to the chest. But there are a few situations where we might need to share it:

We work with trusted third parties for things like email hosting, cloud storage, and analytics. They only get access to what they need to do their job, and they're bound by confidentiality agreements. Think of them as our behind-the-scenes crew.

On larger projects, we sometimes collaborate with engineers, contractors, or consultants. We'll only share what's necessary for the project, and only with your knowledge. Architecture's a team sport sometimes.

If we're legally obligated to disclose information (court orders, regulatory compliance, that sort of thing), we'll do so. But we'll let you know unless we're legally prevented from doing so.

What we DON'T do: We don't sell your data. Period. We're not one of those companies that treats user information like a commodity.

How We Protect Your Data

We take reasonable precautions to keep your information secure. Our approach includes:

SSL Encryption

All data transmitted through our website is encrypted. Look for that little padlock in your browser.

Secure Storage

Your info lives on secure servers with restricted access. Only team members who need it can get to it.

Regular Updates

We keep our systems patched and updated to protect against known vulnerabilities.

That said, no system is 100% bulletproof. We do our best, but we can't guarantee absolute security - honestly, no one can. If there's ever a breach that affects your data, we'll let you know ASAP.

Cookies & Tracking

Yeah, we use cookies - the digital kind, not the delicious kind. Here's what you should know:

Types of Cookies We Use
  • Essential Cookies: These keep the site functioning properly. Without them, things break. They remember your session and preferences.
  • Analytics Cookies: We use Google Analytics to understand how people use our site. It helps us make improvements. These are anonymized as much as possible.
  • Performance Cookies: These help us test different layouts and features to see what works best.

You can disable cookies in your browser settings, though it might affect how the site works. Most browsers let you block third-party cookies while keeping functional ones - that's a good middle ground.

Do Not Track: We respect "Do Not Track" browser signals. If you've got that enabled, we'll limit our tracking accordingly.

Your Rights & Choices

It's your data, and you've got rights. Here's what you can do:

Access Your Data

Want to know what we've got on file? Just ask. We'll send you a copy of your personal information we're holding.

Correct Inaccuracies

If something's wrong or outdated, let us know and we'll fix it. We want to keep things accurate too.

Delete Your Info

Want us to erase your data? We'll do it, unless we're legally required to keep it (like for completed project records).

Opt Out of Marketing

Every email we send has an unsubscribe link. Click it and you're off the list - no hard feelings.

Data Retention: We keep your information for as long as we need it to provide our services or as required by law. For active projects, that means the duration of the project plus 7 years (standard for architectural records in Canada). For newsletter subscribers, until you unsubscribe. For casual inquiries that don't go anywhere, typically 2 years.

External Links

Our website might link to other sites - maybe a manufacturer's page, a sustainability resource, or a collaborator's portfolio. Once you click through to those sites, this privacy policy doesn't apply anymore. Those sites have their own policies, and we can't control what they do. So yeah, click with awareness.

Updates to This Policy

We might update this privacy policy from time to time - usually when we add new features or if regulations change. When we do, we'll update the "Last Updated" date at the top. For major changes, we'll shoot you an email if we've got your address on file.

We recommend checking back occasionally, especially if you're a regular visitor or client. But we're not gonna make sneaky changes or anything like that.
